Estimates
Who We Write Xactimate Estimates For
Restoration Contractors
You are on job sites all day. Xactimate is a full-time tool, and an estimate written at 11pm loses line items. Send us the scope and photos. We write the estimate under your letterhead while your crews keep working.
Homeowners And Property Owners
Your carrier sent an estimate and you have no way to check it. We write an independent line-item estimate of the same loss, priced from the same data the adjuster uses. You see what the repair takes and where the two estimates differ.
Public Adjusters And Consultants
You need repair costs you can defend in a file. We write the estimate, document the scope behind it, and add notes to the items that draw questions, so adjusters and clients see clear justification.
What You Get With Every Xactimate Estimate
Our Xactimate estimate writing service includes six items on every claim:
The Xactimate ESX file, so your adjuster can review it in the software
A PDF estimate for the carrier and your records
A sketch with room dimensions, elevations, and roof planes, built from your photos, scans, or drawings
Line items priced to your region, with the price list version and date printed on the estimate
Notes on the line items an adjuster is most likely to dispute
Your logo and letterhead
We write in Symbility when that is what the carrier uses.

Results From Restoration Contractors And Homeowners
Collection tip: ask for the loss type, the approved figure, and the city. A quote that names a dollar outcome carries more weight than one that praises service.
“Maison AEC helped turn our ideas into a practical home design. The team listened carefully, explained our options clearly, and kept us informed throughout the planning process.”
Sarah Mitchell
Homeowner
“We needed guidance with the plans and documentation for our home addition. Maison AEC made the process feel manageable and helped us understand what was needed at each stage.”
Emily Roberts
Homeowner
“The drawings were clear and well organized, making coordination with our construction team much easier. We appreciated the attention to detail and quick responses to our questions.”
James Carter

First Claim
Why The First Claim Estimate Comes In Low
The Adjuster Prices Your Loss In One Visit
Adjusters carry heavy caseloads and write from a single walkthrough. Damage behind walls, under flooring, and above ceilings does not show up in an hour. The number that lands in your file becomes the number you argue up from.
A Missing Line Item Is Unpaid Work
If the damage is not a line item, it is not in the check. Hidden damage, code-required upgrades, and current regional pricing are what a fast estimate leaves out. Whatever is missing comes out of your margin or the owner's pocket.
The Carrier Works In Xactimate
Your adjuster prices the claim in Xactimate. Insurers and restoration contractors handle more than half of all property claims in the US and Canada in the software, according to Actionable Insights. An estimate in any other format gets re-priced.
Justification Notes
How Justification Notes Get A Line Item Approved
An itemized estimate tells an adjuster what you are doing and what it costs. It does not tell them why. That gap is where line items get struck.
We attach a note to any item likely to draw a question. The note names what triggered the item, what standard or code section applies, and what the photos show. An adjuster reading that note has their answer during review.
Items that almost always need a note:
Detach and reset on fixtures, cabinets, and appliances, where the adjuster sees only the finish being replaced
Code-required upgrades, where the reason sits in the building code rather than in the damage
Contents handling, where packing, moving, and cleaning are separate operations from the repair
A note will not make an unsupported item payable. It makes a supported item easy to approve.
Ordinance And Law
The Code Upgrades Most Xactimate Estimates Miss
When a repair crosses a certain size, the building department requires the work to meet current code. That can mean rewiring a circuit instead of splicing it, adding insulation to current R-value, replacing a non-compliant handrail, or bringing a bathroom to current clearance.
Most policies cover this under Ordinance and Law. Fast estimates leave it out, because pricing it means knowing what your jurisdiction requires before the permit is filed.
We file permit sets in nine states. We know which repairs trigger a plan review, which trigger an inspection, and which items an inspector will flag before the work passes.
Include:
State and jurisdiction
What the original repair scope was
What the code triggered
What it added to the estimate
How it was documented for the carrier

Why An Architecture Firm Writes A Better Xactimate Estimate
Most Xactimate estimating services are estimating shops. We are an architecture and engineering firm that also writes claim estimates. That changes three things in the file you get back.
We read construction drawings:
When you have plans, we take quantities off them. When you do not, we build the sketch from your photos the same way we build a floor plan.
We know what the repair takes to build:
We draw residential plans every day, so we know what sits behind the drywall and what it takes to put it back. Your estimate includes the demo, prep, and reset items a photo does not show.
We know what the code requires:
We have secured permit approval on 50+ residential sets across nine states, so we know which repairs a jurisdiction holds to current code. That is the most common gap between a fast estimate and a complete one.
Our estimators hold Xactimate Level 2 certification and write in both Xactimate and Symbility, on repairs from a single room to a full rebuild.
Our Process
How We Write Your Xactimate Estimate In 48 Hours
Step 1
You Send The File
Photos, room measurements, a scope sheet, a Matterport or DocuSketch scan, or construction drawings. We work from whatever you have and tell you within the first review if something is missing.
Step 2
We Draw The Sketch
Rooms, elevations, and roof planes go into Xactimate Sketch. Quantities come off the sketch, so measurements stay consistent across every line item that references them.
Step 3
We Select The Price List
We price against the current list for your zip code rather than a national average. The list version and its date appear on the estimate, so the adjuster can see the pricing basis without asking.
Step 4
We Review The Code
We check what the repair triggers in your jurisdiction and price the required upgrades as separate line items.
Step 5
A Second Estimator Checks It
Another estimator reviews quantities, pricing, and scope against your photos before the file leaves our office.
Step 6
You Get The ESX And PDF
We hand over the estimate to you within 48 hours on most claims.
Justification Notes
Xactimate Supplements And Re-Inspections
We write supplements on claims we did not originally estimate.
A supplement is called for when the scope changes after the first estimate was written. Three common triggers include:
Items that almost always need a note:
Hidden damage found during demo: Nobody could have priced it from a walkthrough, and it needs documenting the day it is found.
A code requirement raised during inspection: The building department sets this one, not the carrier.
Outdated pricing: After a widespread loss, material and labor rates move. An estimate written months before repairs start no longer matches what the work costs.
Send the original estimate, your photos, and any correspondence from the adjuster. We write the supplement as a revised estimate with notes on each added item and the documentation that supports it.
What To Send Us Before We Start
- Photos of every damaged room, including ceilings, floors, and any exposed framing or cavity
- The adjuster's estimate, if one has already been written
- The claim number and date of loss
- Your price list region, or just the property zip code
- The claim number and date of loss
- Your price list region, or just the property zip code
- Any correspondence from the carrier about scope or coverage
Missing a few of these does not stop us. We will tell you what to go back for.
Service Areas
Where We Write Xactimate Estimates
We write claim estimates in all 50 states and in Canada. Claim estimates carry no licensing restriction, so the nine-state limit on our permit work does not apply here.
Frequently Asked Questions
Xactimate Estimating Services FAQs
What is an Xactimate estimating service?
An Xactimate estimating service writes property damage repair estimates in Xactimate for contractors, adjusters, or property owners. The estimate lists every repair task as a priced line item using the software's regional pricing data, in the format carriers use to review claims.
How long does an Xactimate estimate take?
We return most files in 48 hours. Large losses and multi-building claims take longer, and we confirm the timeline before we start.
How is an Xactimate estimate different from a contractor's bid?
A contractor's bid gives one price to do the work. An Xactimate estimate breaks the same work into individual line items, each priced from the regional data, which is the format the carrier reviews and pays against.
What is a scope?
A scope is the written list of every task a repair requires, room by room, before any pricing is applied. The estimate is what the scope becomes once each task is matched to a line item and priced.
Do I need my own Xactimate license to use your service?
No. We write the estimate on our Xactimate license and send you the ESX file and the PDF. You need Xactimate only if you want to edit the file yourself.
Can you write from a Matterport or DocuSketch scan?
Yes. We build the sketch from scan data, photos, hand measurements, or construction drawings.
Can you write from our scope sheet?
Yes. Send your scope sheet and we price it. If we see gaps while pricing, we flag them before the estimate goes out and you decide what goes in.
What are overhead and profit, and when do they apply?
Overhead and profit cover a general contractor's cost to coordinate a job and the margin for running it. They generally apply when a repair involves three or more trades and needs coordination. Whether a carrier pays them depends on the policy and the file, and a documented scope makes the case easier to support.
Will the estimate carry our logo and letterhead?
Yes. Estimates go out under your company name and branding
Is there an alternative to Xactimate?
Yes, Symbility is an alternative to Xactimate. The one that matters is whichever your carrier uses, because that decides what format your estimate has to come back in. We write in Xactimate and Symbility.
What if the adjuster disputes a line item?
Send us what the adjuster wrote. We respond with what supports the item: the code section, the industry standard, or the photo that shows it. You forward that to the adjuster. If the evidence does not support the item, we tell you.
Send Us Your File
Tell us the loss type and send what you have. We will confirm the turnaround and the cost before we start writing. If your claim involves a code-required upgrade, say so on the first call, and we will tell you what your jurisdiction requires.
